Reception Intern

Main purpose of role: Manage all immediate contact points for Demographica

Key responsibilities:

  • Manage the switchboard- answer and transfer calls
  • Welcome any one entering the Demographica offices- greeting them and assisting them
  • Maintain a friendly and professional demeanour at all times
  • Take messages ensuring relevant details captured correctly and relay to appropriate person timeously
  • Management of Asset register: ensure all fixed assets are recorded and always up-to-date with correct Serial # and relevant information
  • To ensure the smooth running of all internal activities which ultimately result in delivery to client
  • To assist in solving problems, drafting internal and external communications
  • Opportunity to support with administrative tasks
  • Support of all stakeholders. You are required to develop an understanding of the full range of services Demographica offers and be able to work with Centre of Excellence to learn and grow
  • Manage all extensions, phones (handsets) with the supplier including new lines, any issues etc
  • Support Tea Lady
  • Support HR with Newcomers by owning the following task: Source laptops (and/or other), ensure set up done timeously and delivery
  • Filing of all relevant paperwork to support all Admin area

      Additional area of focus:

      • Manage diary of meeting rooms
      • Ensure and manage IT. This includes General coordination of office IT, address and manage any internet/down time with supplier (Bizztech) providing feedback internally and following up as and when needed
      • Ensure reception and all meeting areas are clean and equipped as expected

      Day to day expectations:

      • Ensure reception and all meeting areas are clean and equipped as expected
      • Manage all extensions, phones (handsets) with supplier (Voices) including new lines, any issues etc 
      • Support MANCO with Newcomers by owning the following task: Source laptop (and/or other), ensure set up done timeously and delivery
      • Filing of all relevant paperwork to support all Admin areas

      Minimum requirements:

      • An industry relevant qualification in Marketing, Communications or Advertising
